Erasmus MC pass for clinical clerks


Agreement 
All master’s students in Medicine will receive an invitation by email to sign the clinical clerk agreement at the Education Center desk. This appointment is scheduled during the Internal Medicine or Research Methods block, depending on which you start with. You must present valid ID—only a passport or national ID card is accepted (no copies, no driver’s licenses). 

HiX account 
You sign the agreement once. This starts the HiX authorization process and the issuing of your clinical clerk pass. More information on HiX can be found in the item HiX rights

Microsection number 
All Erasmus MC employees have a microsection number (MSN). If you already have an MSN, you still need to sign the agreement. Your existing MSN will be retained, and the new appointment will be added. If you don’t have one yet, one will be assigned to you. You can view your MSN via Osiris Student under “My Details” → “Additional Info”. 

Collecting your pass 
From the start of the Internal Medicine block, you can collect your new staff pass at the Servicedesk counter (Fe-209, counters 3 and 4), provided you have a student ID but no staff pass yet. If you already have a staff pass, you can continue using it until graduation. 

Paying a deposit 
You may be required to pay a €45 deposit when collecting or exchanging your pass. This is refundable upon return at the end of your studies. Whether a deposit applies depends on other appointments within Erasmus MC and any associated payments. Only Servicedesk staff can view this. 

Authorization & access 
With your new pass, you have access to the new building and (with your MSN and password) to HiX. All existing authorizations and credit will be transferred. General staff access is granted automatically. You do not need to request access to the emergency department (ED) or the new building. Department-specific access must be requested by the department where your clerkship takes place. HiX access is activated automatically per clerkship. You will not receive a separate notification. 

As a clinical clerk/master's researcher, you have the responsibility to handle HiX acces rights with integrity. You are only permitted to view patient records that are necessary for the performance of your duties. Additionally, it is mandatory to complete the e-learning module on information security and data protection. You can find it here.

Identification requirement 
Wearing your Erasmus MC pass visibly in the OWC is mandatory. You may be asked to identify yourself. If you do not have an Erasmus MC pass, you may be asked to show your EUR student card or, in case of a short course, your confirmation email that proves you may study in the Education Center.
