Longitudinal assessment of professionalism 1
The credit for GENMALBP1-O is awarded periodically after completion of clerkship series A and B, provided that all credits for these clerkships have been obtained (both the clerkship assessments and mandatory education). If so, you will be added to the list of students eligible for the credit. The CLBP will then assess whether there are any ongoing concerns regarding professional behavior. If not, the credit will be awarded. Please note that you may not start clerkship series C (elective and final clerkships) without this credit.
Elective clerkship
After completing the regular clerkship series A and B, you begin series C. These are clerkships you organize yourself in one or more disciplines of your choice. The elective and final clerkships together have a duration of 18 weeks.
If you fall under the revised assessment system, the following applies: there must be a minimum of four weeks between the end of Series B and the start of Series C, see OER Article 4.1.
Registering on time
You are responsible for organizing your Series C clerkships on time. To register for an elective or final clerkship, you must start the application through OSIRIS Case no later than 8 weeks before the start. Note: you can only begin once the Case is completed. You can find the manual for starting a Case on Canvas. If you do not submit the application, or submit it too late, any time spent on the clerkship without official approval is at your own risk. These weeks will not count towards your clerkship period.
When submitting the application, ensure that the start date is not more than one year in the future, or the Case will be rejected.
Examples of elective and final clerkships can be found here.
Requesting and/or Signing Documents
Requesting or having documents signed that are required by the receiving institution can be arranged by submitting a case via Osiris. This option can be found under the topic ‘stage’.
After review by the CLBP, the Education & Student Affairs Office will prepare the required documentation. The documents will then be returned to you through the same case, provided that all necessary information has been submitted correctly and in full.
No overlap with master’s research
A clerkship may never overlap with the master’s research project. Please refer to the Education and Examination Regulations (OER) for the entry requirements and conditions.
Combining elective and final clerkships
You may choose the order of your elective and final clerkships. You may complete the elective clerkships separately (2x3 weeks), combine them (6 weeks), or partially or fully combine them with the final clerkship (12, 15, or 18 weeks). It is also possible to use your elective clerkship(s) to extend the master’s research project. See the OER for more information. The Clinical Excellence Track is no longer offered; see this link for details.
Regular and non-regular clerkships
You may choose either a regular or a non-regular clerkship. If you choose a department that also participates in the regular master clerkships (series A or B) or is listed in the document Regular Elective and Final Clerkships, it is considered regular. All other departments (including those abroad) fall under non-regular clerkships.
Approval by discipline coordinator
When applying for a non-regular clerkship, you must provide a summary of the clerkship. These clerkships require approval via Osiris Case by the responsible discipline coordinator at Erasmus MC. Contact details can be found on the discipline coordinator list on Canvas. Note: the assessment form for non-regular elective and final clerkships must be signed not only by the student and supervisor but also by the Erasmus MC discipline coordinator.
Approval via Osiris Case
To register for an elective or final clerkship, you must start the application via OSIRIS Case no later than 8 weeks before the start. Once all parties have reviewed the application, you will receive confirmation by email. You may only begin after receiving this confirmation. Note: as a student, you are responsible for monitoring the progress of your Case in Osiris. Check your application regularly and act promptly if the process stalls.
Started without approval?
Did you start without receiving confirmation? Then submit a written and substantiated request to the Examination Board. There is a risk that the weeks worked without approval will not count towards your official clerkship period.
Abroad
You may complete your elective or final clerkship abroad. Visit the Canvas page Study/Internship Abroad for more information.
During your clerkship
To safeguard the position of medical students in clinical practice, guidelines have been established in the document Revised Guidelines for Regulating the Position of Medical Students in Clinical Practice. This contains information about responsibilities, insurance, working hours, and more.
Travel and housing
Housing options vary by hospital. On this Canvas page, you can check whether housing is available during your elective and final clerkships. More information about travel reimbursement and reimbursement forms for medical students can be found here.
Osiris Zaak
Have you submitted a case and it hasn't yet been processed in Osiris, but you want to adjust something (e.g., supervisor email or clerkship dates)? Contact Education & Student Affairs.
Are you having technical difficulties with the Case application? Send a screenshot through a contact form to Education & Student Affairs so we can assist you properly.
Did your supervisor not receive the link to the Case or is unable to approve it? Do not create a new Case. Contact Education & Student Affairs, and we will help complete or approve the Case.
Assessment
There is a division in the assessment of the elective and final clinical rotations. This division depends on your start date in the Master’s programme in Medicine:
New system (for cohorts starting from 1-2023 onwards)
All assessments (for both elective and final clinical rotations) will take place via Scorion. More information about this assessment method and the use of Scorion can be found on Canvas.
Old system (for cohorts up to and including 5-2022)
To complete your elective clerkship, you must upload the fully completed Elective Clerkship Assessment Form (regular or non-regular) via OSIRIS Case: “Submit Assessment Form(s)”.
The assessment of your final clerkship is done via the Final Clerkship – Final Assessment Form. During your final clerkship, you are expected to collect feedback using the Mini-CEX form and create an Individual Development Plan (IDP). More information is available here. Only the final assessment form must be uploaded via OSIRIS Case and must be completed digitally.
Note that your clerkship may not be assessed before the penultimate day of the clerkship.
The assessments for your EBM and Ethics final assignments can be uploaded together with your Final Clerkship Assessment Form and will be processed together. This also includes the ethics sessions.
Would you prefer to submit the final clerkship assessment or the EBM and Ethics assessments separately? Then you can start a separate Case for assessment of the final clerkship. You will be asked to upload three documents. You can supplement any missing documents with blank files (for example: just the final clerkship assessment + two blank documents, or just the EBM and Ethics assessments + one blank document).
More information on grade calculation for the final clerkship can be found in Appendix 3 of the Examination Board’s Rules & Guidelines.
Assessments for regular elective and/or final clerkships must be signed by the student and supervisor. For non-regular clerkships, the student, supervisor, and discipline coordinator must all sign. If your supervisor is also the discipline coordinator, one signature suffices.
(Interim) changes
It is important that your supervisor and period on your assessment form match the information in your application. This will prevent your assessment from being returned for correction. Has your supervisor or period of your clinical rotation changed between your application and the assessment? Or was your assessment completed by someone other than your supervisor? In that case, start a case in Osiris and add the relevant supervisor(s) and information.
Cancelling an Approved Application
It is possible to cancel a previously approved application for a clinical rotation. You can do this in Osiris, by submitting the designated case: “Wijziging/annulering doorgeven (keuze- en/of oudste) Coschap/Masteronderzoek” This can be found under the ‘stage’ section in the portal.
Once the case has been submitted, the cancellation will be processed and the application will be removed from the system.
Please note: It is the student’s own responsibility to personally inform all involved parties and individuals about the cancellation of the clinical rotation.
