Master’s degree and graduation ceremony


Graduation case
Creating your diploma and registration in OSIRIS takes up to 15 working days from the start of the graduation case. If your case is marked as incomplete, this period is paused. No graduation cases are processed during the Christmas holiday. Once your diploma is registered, you’ll receive confirmation via email from OSIRIS Zaak. Further down, you’ll find information about applying for your BIG registration. If you intend to start working immediately after graduation, account for this processing time. 

How your graduation case is initiated depends on the assessment system that applies to you. Below you can read what applies to your situation.

Active degree (new assessment system)
For students in the new assessment system (cohort 2023-1 and later), an active degree check is used to determine who meets the required number of credits to graduate. Education & Student Affairs conducts an active degree check twice a week. For students who have obtained 179 credits at that time, the graduation case is initiated. You will receive a confirmation of this via Osiris ZAAK. You do not need to take any action yourself. The process of the graduation case can be found in the image above.

The final EC for LBP (professionalism) is processed shortly before your graduation. During the graduation process, the Examination Board and the CLBP check whether there are any ongoing issues related to professional conduct. If there are no ongoing issues, the point will be awarded automatically. You do not need to contact Education & Student Affairs for this.

Diploma registration via OSIRIS Zaak (old assessment system)
Your diploma registration is initiated as soon as you indicate in OSIRIS Zaak that your final assessment form is your last result. This case is called ‘Graduation – 1’. Make sure your form is filled in correctly and you meet all graduation requirements. If not, your diploma cannot be processed. If your final result is not submitted via an assessment form (e.g. it’s a written exam), email the OSC. 

Expedited registration is not possible due to review requirements by the Examination Board and the Committee for Longitudinal Assessment of Professionalism. 

Longitudinal assessment of professionalism (old assessment system)
During the Master, students must earn 2 EC for professionalism assessments during clinical rotations. These are handled by the Committee for Longitudinal Assessment of Professionalism (CLBP). One EC (LBP-1) relates to series A and B rotations, see also the item elective and senior clerkships; the second EC (LBP-2) covers the final rotation (series C). LBP for graduation (LBP-2) 
The EC for GENMALBP2-O is processed just before graduation. During the graduation process, the Examination Board and CLBP verify there are no ongoing professionalism issues. If none are present, the EC is granted automatically. You do not need to contact Education & Student Affairs. 

Portfolio (old assessment system)
Your portfolio must be assessed and recorded in OSIRIS before submitting your final result. Assessment can take several weeks, so submit your documents in full and on time via EPASS. If your portfolio result is not available in time, you cannot graduate or attend the ceremony. Course code: GENMAPO-L. 

Academic development final assignments (old assessment system)
To graduate promptly after your final rotation, submit your academic development assignments (EBM and Ethics) well in advance. This increases the likelihood of them being graded before your last rotation, allowing you to upload all documents into OSIRIS Zaak immediately afterward. 

Early grading request 
The Examination Board does not allow early grading of Master’s research or rotations. Results may only be submitted from the penultimate day of the activity. Early grading to join a ceremony or graduate faster will render your result invalid. 

Do not contact Academic Development lecturers to request faster grading. They will not respond to such requests. You may begin work on your assignments early during your final rotation. Be aware that revisions may be required, which will take extra time. 

De-enrolment 
See the EUR website for more on de-enrolment. The Erasmus MC uses your graduation approval date (from the Examination Board) as the official de-enrolment date. If your last activity is on 26 January, your final date might fall in February, meaning you’ll pay tuition through February. 

If your last result is in August, your graduation date might fall in September. In that case, re-enrol for September. If your graduation ends up being in August after all, the EUR will cancel your enrolment and you won’t pay extra tuition. 

You can de-enrol in Studielink after submitting your final assessment. However, the EUR will only process your de-enrolment once Erasmus MC has registered your graduation. 

You do not need to be enrolled to attend the ceremony. The graduation date, tuition, and BIG registration are not affected by the timing of your ceremony. 

BIG registration 
Once OSIRIS Zaak confirms that your diploma is registered, you can apply for your BIG registration—even before receiving your physical diploma. Select your diploma in the online BIG application form. More info is available on the BIG register website

Recognition certificate 
Students who volunteered during their studies may apply for a certificate of recognition. More information about the requirements and process can be found here

Clinical clerkship agreement 
Once your graduation case starts, the OSC informs HR/Payroll that your co-assistant agreement may be terminated. You don’t need to contact Education & Student Affairs about this. 

ERNA account 
Your ERNA account will be deactivated a few months after de-enrolment. The exact timing can be found in ASK Erasmus (search: ERNA).

Photos 
Professional photos will be taken during the ceremony by an Erasmus MC photographer. These will be shared via email with all graduates after the event. 

Diploma documents 
The documents include: the diploma (certificate), a Dutch transcript, an English transcript, and a diploma supplement. These are signed only by the Chair of the Examination Board. 

Diploma verification and digital extract 
Once you graduate, your diploma information is automatically sent to the national Diploma Register (Mijn Diploma's – DUO). You can download a certified digital extract from this register to use in job applications or other situations. It is internationally recognised. Employers can also check your details via the EUR exam register—if you gave permission via Studielink. If not, register manually via this link

For certified copies, make an appointment by filling in a contact form. Certified transcripts can also be requested at the OWC front desk. 

Other diploma verifications 
Diploma verification is centrally handled via the EUR. More info on manual verification is available on the EUR website

Working abroad 
Diploma documents are issued once. If you have a Dutch diploma and need a translation, use a certified translation agency. For credential evaluation or recognition abroad, visit the Dutch government website

Graduation ceremony and planning 
Master’s graduation ceremonies in Medicine take place on the last Friday of each month (except holidays and December). Participation is mandatory due to the required oath or affirmation. 

Once your diploma is registered and your graduation case is closed, the case ‘Graduation ceremony planning – Master of Medicine’ begins. You will: 

If needed, reject and request a new date (Education & Student Affairs will reassign you). 

Receive an official invitation at least 3 weeks before the ceremony (sent to both student and personal email from Studielink).
