Travel expenses


Medical interns and Master’s students in Medicine may, under certain conditions, be eligible for reimbursement of travel expenses. There are various schemes and submission methods for this:

  1. Travel expenses scheme for medical interns with public transport
    (internships taking place outside Rotterdam): For medical interns who hold a student public transport card, the travel expenses scheme is described in the travel expenses scheme with public transport and the declaration form with entitlement to the student travel product can be used.
  2. Travel expenses scheme for medical interns without public transport
    (internships taking place outside Rotterdam): For medical interns who do not have a student public transport card (no longer entitled to the student travel product), the travel expenses scheme is described in the travel expenses scheme without public transport and the declaration form without entitlement to the student travel product can be used.
  3. Travel expenses scheme summer period master education and internships for medical interns
    (Education and internships taking place in Rotterdam only during the public transport-free summer period, with the exception of internships taking place in Erasmus MC): During the public transport-free summer period (annually from 16 July to 15 August), it is not possible to travel for free. For this reason, a scheme has been drawn up for education and internships taking place in Rotterdam (with the exception of internships taking place in Erasmus MC, for which a separate scheme applies, see point 4). This concerns a compensation for travel expenses and can be applied for via Osiris Case.

             Note: This case can only be found from approximately mid-July to 16 November.

  1. Travel expenses scheme for medical interns in Erasmus MC
    (only internships taking place in Erasmus MC): For medical interns doing their internship in Erasmus MC, travel expenses can only be claimed on days when it is not possible to travel for free using the weekly subscription of the student travel product or when no longer entitled to the student travel product. If a medical intern is no longer entitled to the student travel product, at the first submission of a declaration form without this entitlement, the DUO message regarding discontinuation of the student travel product with the subject: “Avoid a public transport fine. Terminate your student travel product no later than 10 …!” must be submitted.

For declaring travel expenses, the following applies:

a. With public transport: 100% reimbursement based on public transport costs (second class). If the travel distance is less than 7 km, only a mileage allowance can be claimed (see b). When submitting the declaration, a public transport travel history must be attached.
b. Mileage allowance: This is € 0.18 per kilometre based on the fastest route according to the ANWB route planner with a maximum of 40 kilometres one way. It is not possible to declare parking costs or costs for tolls etc.

Per internship day, it is allowed to alternate between these two options (not on the same day).

The declaration can be submitted using the declaration form for medical interns in Erasmus MC and must be submitted within 3 months after the end of the internship.

Submitting travel expense declarations
In the image below, you can find step by step which declaration form should be used when. Keep in mind that declarations must be submitted on time. If you submit a declaration too late, the travel expenses will no longer be reimbursed. Exceptions are not possible.

Non-regular internship
For a non-regular elective or final internship, no travel expense reimbursement is granted. During a regular elective or final internship, the travel expenses scheme does apply. Information about regular and non-regular internships can be found in the knowledge item: elective and final internships.
